Your AI Knowledge is the approved content your AI draws on when it answers customers — the FAQs, products, and promos it can quote, plus a business profile that tells it who you are, when you’re open, what tone to use, and which languages to reply in. Your AI only ever answers from content you’ve approved, so keeping this fresh is one of the most useful jobs you can hand to an agent.
Once your agent is connected (see Connect Claude Code to your account), you can just ask it to help you tidy, grow, and check your knowledge — in plain language.
Watch the walkthrough
Before you start
An AI app that may change your knowledge. You can connect it in either of these ways:
- Sign in from your AI app (Claude, ChatGPT or Claude Code) and tick Make changes on the approval page. See Connect your own Claude or ChatGPT to a workspace. A Read only connection can show you your FAQs, but it cannot add, edit or approve them.
- Use an access key from Settings → API & Agents that includes the Manage AI Knowledge Hub permission.
Your own role must also allow it: an administrator, or a custom role with Manage AI Knowledge and tools. The AI can only do what your role allows.
If the agent says it’s “missing a permission,” that’s the safety design working. Connect again with Make changes ticked, or turn the permission on for the key — or leave it off on purpose if you’d rather curate knowledge yourself. (See What your AI agent can and can’t do.)
Turn real questions into FAQs
The best FAQs come from what customers actually ask. Try:
“Look through last week’s resolved conversations and draft FAQs for the questions that keep coming up.”
Ask it to show you the drafts in the chat first. An FAQ the agent saves is approved straight away and your AI starts using it, so tell it which drafts to keep before it saves them.
Review your pending FAQs

FAQs that Mampu AI drafts for you — from a document, your conversations or the WhatsApp chat history you shared when connecting your number — wait under the Pending tab in AI Knowledge until someone approves them. Your AI can work through that list with you. Try:
“Show me my pending FAQs.”
“Approve the pending FAQs about delivery and opening hours.”
“On the pending FAQ about refunds, change the answer to 7 days, then approve it.”
“Delete the pending FAQs that mention our old address.”
Once approved, an FAQ is used in customer replies. A deleted draft is gone for good.
Note: Your AI approves FAQs one at a time. To approve a long list in one go, tick them under Pending in AI Knowledge and click Approve.
Note: Merging a draft into an FAQ you already have is done in AI Knowledge, with Merge on the pending card. See Reviewing pending drafts.
Add products and time‑limited promos
- Products — “Add our three coffee packages, with prices.” Each entry can carry a price, so the AI quotes the right figure.
- Promos — “Add a Merdeka promo, 20% off, running 25–31 August.” A promo only answers within the dates you set, then quietly stops — no need to remember to remove it.
Add photos and files to products and FAQs
An entry can carry product photos, a spec sheet (PDF), a short video, or an audio clip, and the AI sends them with the answer.
- From a link — “Add this photo to the Honda Civic product: https://example.com/civic.jpg”. The file is saved into your Mampu AI account, so the photo keeps working even if the original link later changes or disappears. Use a public link that opens the image or file itself. A link to a web page, or one that needs a login, is refused with “That link could not be used as a photo or file” and nothing is saved.
- From files on your computer — “Use the photos in my Downloads folder for the Honda Civic product.” An agent that can run commands on your computer, such as Claude Code, uploads the files for you through a short-lived upload link. Chat apps that can’t reach your files need a public link instead.
When the agent changes an entry’s photos, it replaces the whole set, so say “keep the current photos and add this one” when you want to add rather than swap. Photos and files can only be added with an access key that belongs to an account administrator. (See Product catalogue and recommendations.)
Preview what the AI would use
Before trusting an answer, check it. Ask:
“For the question ‘Do you deliver to Sabah?’, show me what the AI would pull up.”
The agent runs a dry‑run — no customer sees anything — so you can spot gaps or wrong entries and fix them first.
Edit, approve, or remove entries
Ask the agent to reword an answer, approve the drafts you’re happy with, or remove anything out of date. You stay the final say on what your AI is allowed to tell customers.
Keep your business profile current
Ask it to update the essentials the AI relies on every reply:
“Set our hours to 9am–6pm, Monday to Friday, use a friendly tone, and reply in English and Malay.”
That covers your name, hours, tone, and the languages the AI answers in.
What stays in the dashboard
Auto‑generating a whole knowledge base from an uploaded document is still a dashboard job — the agent can’t trigger that yet. It can, however, draft FAQ entries for you from real conversations, which is often faster anyway.
Every change counts toward your allowance
Each action the agent takes — adding, editing, or approving an entry — counts toward your plan’s monthly allowance. You can see per‑key usage in the Calls column under Settings → API & Agents. If you run out, the agent pauses with a “quota exceeded” message that resets at your next billing renewal. Only successful actions count. Need more sooner? Upgrading raises your allowance right away; a downgrade or same‑tier change won’t reset it early.
Frequently asked questions
Why can my AI see my pending FAQs but not approve them?
It is connected as Read only, its access key lacks Manage AI Knowledge Hub, or your own role does not allow managing AI Knowledge. Connect again with Make changes ticked, add the permission to the key, or ask an administrator.
Does an FAQ my AI adds wait under Pending?
No. An FAQ your AI adds is approved straight away. Only the drafts Mampu AI makes for you wait under Pending.
Can my AI approve all my pending FAQs at once?
It approves them one by one, so a long list takes a while. For many at once, use the checkboxes under Pending in AI Knowledge.
